Tender Desk Assistant
Landis+Gyr (Pty) Ltd is part of a global organisation and is engaged in the design, production and distribution of energy metering and energy management products.
Mission of Function:
- Supply Quotations and Tenders as fast as possible to clients
- Clearly Identify any Commercial risks in Tenders
- Actual time status report on Quotations and Tenders
- Link new Customer Orders correctly and as fast as possible with Tenders and Quotes
- Supply Commercial Clear Orders to Sales Coordinators
- Actual time status report on Sales Orders
- Manage related costs direct related to Customers
- On time Monthly reports and weekly test of controls
Areas of Responsibility / Tasks
- Monitor progress on preparation of Tenders and Quotes
- Coordinate with various internal stakeholders to ensure smooth tender processes
- Assist with the preparation and submission of tender documentation
- Maintain and update document library and Central Supplier Database
- Request signatories for Board Resolution of Authority
- Identify any Commercial risks and inform Management to supply alternative or approval
- Final assembly of Quotes and Tenders, with information from role players
- Ensure that Quotes and Tenders are signed by allowed signatories as per Signatory
Mandate
- Provide actual time status report on Quotations and Tenders
- Link new Customer Orders correctly and as fast as possible with Tenders and Quotes
- Supply Commercial Clear Orders to Sales Coordinators
- Supply request to TSE’s
- Provide actual status report on Sales Orders
- Manage related costs directly related to Customers
- On time Monthly reports and weekly test of internal controls
- Test Internal Controls
- Special Required improvement projects
- Expediting:
- Expediting orders to ensure that the priority plan is valid
- React to MRP Exception messages
- Updating of new delivery dates in SAP to optimize MRP effectiveness.
Stock monitoring
Planning deliveries in order to keep the stock levels at minimum levels whilst keeping the priority plan current.
Regular monitoring of stock levels to agreed target levels.
Negotiate
- Negotiate prices and deliveries with suppliers
- Continuous price evaluation and comparison
Vendor Evaluation/Selection
- Sourcing and evaluating suppliers
- Communicate improvement measures with vendors
Other responsibilities
- Interface internally with other functional departments
- Actioning of MRB material – making sure that it is captured and returned to the suppliers

Experience & Qualifications:
Minimum: Relevant Tertiary education
Desired: Management Development Program Certificate or Similar
Professional Experience:Minimum: 4 year working experience as a Tender and Sales Administrator
Preferred: 6 years working experience as a Tender and Sales AdministratorInitiative, Organize and creative
