Import & Export Assistant

The Import-Export Assistant is responsible for supporting the company’s foreign trade operations, ensuring compliance with Mexican customs and foreign trade legislation. This includes reviewing, verifying, and filing the necessary documentation for the import and export of production materials, machinery, and equipment, collaborating with logistics and customs teams to ensure that processes are accurate, timely, and in compliance with current regulations.

In this role, the Import & Export Assistant will:

•    Assist in reviewing and filing import and export documentation, including invoices, customs declarations, and certificates of origin.
•    Keep Annex 24, customs declaration records, and foreign trade files up to date and organized.
•    Verify that imported and exported goods match the BOMs and records in SAP.
•    Provide support for invoicing and tracking import and export operations under different customs regimes.
•    Monitor customs declaration uploads and downloads and verify merchandise balances, including expiration dates and units of measure.
•    Collaborate with carriers and internal departments to ensure compliance with foreign trade operations.
•    Assist in the preparation of reports and records required by the Integrated Management System (IMS) and applicable ISO standards.
•    Perform other tasks assigned by management related to import and export operations.

Required Skills:

•    Basic knowledge of import and export operations, including handling Annexes 24 and 30.
•    Support in coordinating international freight and monitoring goods.
•    Knowledge of obtaining permits and authorizations from agencies related to foreign trade.
•    Induction and familiarity with the Integrated Management System (IMS), including ISO 9001, 14001, 45001 (OHSAS 18001), 27001, and 22301.
•    Basic knowledge of ESD control applicable to materials and equipment.
•    Intermediate level of English (approx. 60%), sufficient to interpret documentation and communicate in international operations.
•    Ability to solve operational problems, organize tasks, and work under supervision.
•    Responsibility, initiative, and willingness to collaborate in ensuring process compliance.
•    Teamwork and effective communication with internal departments and carriers.
•    Proficiency with Annex 24 systems, VUCEM, and other official customs authority platforms.
•    Experience with Microsoft Office (Excel, Word, PowerPoint) for tracking, reporting, and document control.
•    Tracking of inventories and BOMs in ERP (SAP) to ensure that imported/exported goods are recorded correctly.
•    Basic handling of import/export reports to support internal audits.
•    Knowledge of customs procedures (permanent, temporary, transit) to identify required documentation.
•    Skills in tracking expiration dates, quantities, and units of measure.

Required Experience:

Education:
•    Bachelor’s or technical degree in Business Administration, International Trade, Accounting, Logistics, or related fields.
•    Additional training in international trade, customs, or international logistics is preferred.
Experience:
•    1 to 3 years of experience in import and export operations, preferably in manufacturing companies or maquiladoras.
•    Basic knowledge of laws, regulations, and customs procedures applicable to imports and exports.
•    Experience handling customs documentation, customs declarations, certificates of origin, and coordinating with carriers.
•    Familiarity with foreign trade systems, preferably Vastera, VUCEM, and ERP (SAP) for tracking and recording goods.
Skills and competencies:
•    Organization, responsibility, and proactivity to support operational tasks.
•    Ability to communicate effectively with internal departments, carriers, and customs authorities.
•    Ability to learn quickly and willingness to adapt to changes in processes or regulations.
